Welcome back!  We hope you all had a wonderful, relaxing summer and your school year is off to a great start.

Here at Beehively we have been hard at work at a series of improvements and new features to our software.  So while we hope you enjoyed a relaxing three day weekend, we have prepared our first big release of the school year.  When you come back on Tuesday, Beehively will look a bit different! Keep reading to learn more about all the changes or click here to watch a video on the updates.

Now you are probably wondering, just how different is it? Well, we are excited to share with you some of our favorite updates!

 

Features YOU Asked For!

First – we have to thank you for all the wonderful suggestions and feedback you provide – it makes our software better.  So we applaud you for sharing these great ideas, and we are excited to introduce you to the newest Beehively features.

 

  • Mobile Friendly: Tired of trying to navigate Beehively on your small iPad or iPhone screen, Beehively is now built with a responsive design which makes your mobile experience exponentially better.  This does mean that a few things have moved, most notably the left hand menu and column have been relocated on the page.

  • People Search: You can now search the People section of Beehively with two fancy new search options – this will save administrators valuable time.  In addition, you can save your searches and use them over and over!
    • The keyword search allows you to search by: First name, Last Name, Email, Primary phone for directory, voice numbers, text numbers, memberships, person id, prefix, suffix, relatives, type, classroom, address
    • The filters allow you to select groups by user type, membership, groups and classrooms

  • Holiday Bulk Attendance: Have you ever had to mark “Holiday” for all students?  Well, you won’t anymore!  You can now upload all school holidays and attendance will automatically mark “holiday” in all student attendance records.

  • File Folder Structure: Is your Files page looking a bit cluttered?  Get ready to change that!  You can now add multiple files in one entry, allowing you to customize a folder structure.  Our support team is ready to help you navigate this new feature!
  • Multiple User Views: We always hear “What do parents see?” – well, now we can set you up with a sample parent account that you can toggle to at any time.  Contact our support team to help get this account set up!

What is Gone

  • External Links are no longer available on the homepage or classroom pages.  Don’t worry though, there are some new, awesome places to put those links.  Contact support@beehively.com for help on getting these added back to your page!

Spring System Updates

We want to share with you what is new today in Beehively!  

This is the first product release of the new year, and we have a lot to share!

 

Many New Updates

What better place to start than with the two updates we think teachers will be most excited about!  We heard your requests and have adjusted the new gradebook accordingly.

  1. The floating MELR box is now moved to the right, no more hiding the grades of the student below!

2. The teacher’s comments column is moved to right after the “Subject Average” column, making it easier to look at the student name and subject average while adding comments.

Subject Comments.pngWhile those are a few of our favorites, the team has been busy adding several other great things as well!

Here are the highlights:

  • Each subject’s individual grade scale is now reflected in the dropdown menu on the overview screen
  • The subject average display can now be filtered to show the average for each category
  • The overview page and gradebooks now run faster
  • Reports are generating faster
  • You now see a warning message before deleting a category – no more accidentally deleting assignments!
  • The system now alerts you if another user is using an email address – no more wondering why you can’t get an account to save.

A New Feature

We are always excited to introduce a new feature!  After the introduction of the Electronic Report Distribution feature this fall, we are happy to provide schools with even more control over what reports parents and teachers see with the Classroom Reports Feature.

  • No more teacher confusion about which reports to print
  • No unused reports cluttering the page
  • Ensure that parents see exactly the report(s) you want them to

Behind the Scenes

At Beehively we are always looking ahead to what we can do to make our product even better!  With this feature release we have made some backend changes to set us up to introduce Google Single Sign On for the 2016-2017 school year!  This will allow for integration with Google Classroom, Google Drive and more… we can’t wait to show you more soon.

Buzzworthy Apps: Google Drive

As a leader in bringing one to one technology to schools, teachers and administrators trust us to recommend productive, secure apps for their classrooms. Our Educational Technology team has compiled a suite of apps that we recommend for all one to one classroom users. One of these core apps is Google Drive. You may already use Google Drive on your laptop or desktop computer, but did you know these files can also be accessed via the Drive app on your tablet or mobile device?

Google Drive enables you to create, edit, and share documents across your devices, allowing you to continue your work wherever you are.

Students and teachers love Drive because it frees them from compatibility issues, forgotten drives, broken printers, and many more complications of previous technologies.

Teachers are using drive to:

  • Store documents, lesson plans, and class information
  • Receive documents from students, parents, and peers
  • Share documents with students, parents, and peers
  • Provide feedback on student documents

Students are using drive to:

  • Create, edit and share schoolwork using Documents, Presentations and Spreadsheets
  • Share schoolwork with peers and teachers
  • Receive feedback on schoolwork from peers and teachers

Improved Report Access and Greater Control of Approvals

As we near the end of the school year, we are continuing to improve Beehively in ways that better your experience. One of our goals is to provide a system that allows for easy access to the information you want, when you want it. With this focus, our updates this month consist of many details which we believe improve the Beehively experience.

Two key improvements we’d like to share are Term Specific Whole Class Reports and the Addition of the Auto-Approve setting to List emails. 

  • Term Specific Whole Class Reports We have found that teachers are generally looking for reports for the current term, however, occasionally reports for a previous term are needed. In the past, older reports could only be downloaded by a Beehively team member, but with this update we’ve added a term selection option to the Download Reports. This allows you to quickly access these reports for your whole class for any term in the current school year, regardless of the date. Select the term you desire, then click the report and your report will generate as usual.

  • Auto Approve Setting Added to List Emails – In the same way that each classroom/group has an email address that can be used to receive announcements, list email addresses allow community members to communicate without posting directly within Beehively. Schools often use these list emails to communicate with larger groups of families, who are not part of a particular class/group within Beehively. The Auto Approve setting allows you to decide whether or not emails sent to this address should be automatically distributed to list members. If the box is left unchecked, emails are subject to the approval process, ensuring only authorized messages reach your community.

Additional Updates

  • Commitments – We’ve updated the Commitments entry to allow for additional characters (e.g. dollar sign, commas).
  • Principal’s Messages – Principal messages have been reorganized to place the most recent messages first in the administrative view.
  • Feedback Page – Formatting on the feedback page has been improved to ensure ease of use.
  • Parent Gradebook View – We’ve updated the parent view to ensure they can easily access all of their students.
  • Report Card Comments – The formatting for Report Card comments was adjusted to remain consistent across web and pdf views.
  • Notification Settings – We’ve updated the email notification setting to also apply to welcome emails. When the school profile has “Email alerts to parents and students are turned: OFF” no emails will be sent to parent and student accounts, including new account welcome emails. This setting allows schools that are still in setup mode to add parents and students to Beehively and delay notification until Beehively is officially launched by the school.

School Showcase: Exploring the Spotlight

One of the things we love most about working with so many different schools is seeing the creative ways each school uses Beehively to connect with their community. The Spotlight feature contains such varied content from school to school, that we thought you might like to see what others are doing with it.

What is the Spotlight?

The Spotlight is a section on your school’s private Beehively homepage, as well as on each classroom, subject, and group page that is designed to share information in an easy to digest, visual manner. Schools often use the Spotlight section to highlight school or student achievements, post information about upcoming events, or share key learning standards or expectations.

SJV Spotlight At St. John Vianney School in Rancho Cordova, First Grade Teacher and Assistant Principal Gloria Reali uses the Spotlight section to highlight Student Learning Expectations and the week’s spelling list.

The SLEs (Student Learning Expectations) are something we like to instill in all of our students; it is a priority. We say and discuss them daily. My hope is that parents will view them when they are in a prominent place to have a better idea of what we are doing in class. There is no searching for them in a newsletter. Same with the spelling words. New memos may come up during the week, but the spelling words are easily found since they stay in the Spotlight. Frequently, I also look for an image for the Spotlight reflecting what we are doing in religion. Since we are a Catholic school, it is important to have the whole family on board with what we are currently learning about.

Current Events

St. James School in Davis finds that parents appreciate having the week’s events highlighted in the Spotlight feature. Having the current week’s event as the home page spotlight allows parents to access this information as soon as they log into Beehively, without any additional clicks. Technology instructor Charlottle Strutzel shares why her school uses the Spotlight section for Current Events:

We use the Spotlight for Current events because we can post what is happening at a glance on the home page. It is an easy way to get the information our to the community, and it is easy to change weekly.

Beehively Tips: Adding Next Year’s Students Now

Since registration for the next school year generally begins in January/February and continues through June, many schools ask us when they should enter these new families into Beehively. New families are in a state of limbo of sorts; becoming members of the school community, but not technically in any existing class. Adding new students to their class for the new year while the current year is ongoing presents some challenges, so we have a few recommendations to help you connect with your new families, while maintaining your current classrooms.

We recommend creating two new classrooms for new families: Incoming Kindergarteners and New Families. Using these two groups allows you to:

  • Enter families as they enroll rather than rushing to get them all entered over the summer.
  • Communicate with your new families in the same manner you’re used to for current families.
  • Train newly enrolled families to interact with your school’s Beehively pages.
  • Enroll new families in Beehively while maintaining your current class lists.
  • Engage your new families as welcome members of your school community.

Incoming Kindergarteners:

Since the bulk of new students are generally kindergarteners, we recommend using a single class to house these students. When adding new students to Beehively, select Incoming Kindergarteners as their primary classroom. This grouping allows you to send messages specific to incoming kindergarteners, and trains parents to seek information from your school’s Beehively pages. When we rollover your students at the end of the year, we will roll over this Incoming Kindergarteners class into Kindergarten.

New Families:

New families from across the rest of the grade levels can be enrolled in a class called “New Families.” Since there are usually only a few new students in each class across first through eighth grades, they can be grouped together for new family communication. Information that applies to new families across grade levels can be sent through this page, and checking Beehively will become a natural activity for these new parents. At the end of the year, you can either provide us with the grade levels/classroom assignments for these students, or you can manually select their new classroom AFTER we have rolled over the rest of your student body.

With the increase in student and teacher use of mobile devices in the classroom, we are always on the lookout for the best apps to share with our clients. Each month we will select an app to showcase, and this month it’s Tellagami.

Tellagami is a fun, new way to share animated messages. Customize your character. Change its mood or outfit. Record your voice or add dialogue. Then share your Gami. Such a fun way to create Digital Stories with and for our students. Here is a sample:

Lead a new wave in digital learning. Tellagami is a fun way for students to learn by creating. Teachers and students can use Tellagami to create book reports, solve math problems and recite lessons. The possibilities are endless!
